This page lets you request deletion of your Workflow AI user account and the personal data associated with it. You do not need to be signed in, and you do not need the app installed, to use this page.
1. Two ways to delete your account
In the Workflow AI app
Open the Workflow AI app and go to Settings → Account → Delete account, then confirm. This starts the same deletion process described below.
Using the form on this page
If you have already uninstalled the app, cannot sign in, or simply prefer not to use the app, submit the form in section 2. We will process your request in exactly the same way.
2. Request deletion
If you would rather not use the form, you can send the same request by e-mail to info@sdtsystems.eu.
3. What happens after you submit
We confirm receipt of your request by e-mail.
We verify that the request comes from the account holder. We may contact you at the address you provided and ask for information needed to confirm your identity. This protects you from someone else deleting your account.
Once verified, we delete your account and the associated personal data listed in section 4.
We confirm by e-mail when the deletion is complete.
We complete verified requests within 30 days of receiving them. If a request is unusually complex and we need more time, we will tell you before the 30 days are up and explain why.
Deleting your account is permanent. Your account and the data listed in section 4 cannot be restored afterwards, and you will lose access to Workflow AI.
4. What is deleted
When your deletion request is carried out, we delete:
your account and profile data: name and surname, e-mail address, phone number where provided, user ID, account ID, user role, permissions, department, language and country settings, and account settings;
your authentication data, session identifiers, registration date and login history;
usage data linked to your user account: activity logs, features used, credits allocated and consumed, comments and confirmations, questions and answers, and support interactions;
error, crash and diagnostic data linked to your user account;
voice and AI data linked to your user account: voice input, audio recordings, speech-to-text transcripts, translations, generated speech, prompts, AI outputs, summaries and conversation context;
images, video and files you uploaded through your personal account; and
your marketing and communication preferences, together with any related contact records.
5. What is kept, why, and for how long
A limited amount of data is kept after your account is deleted, because we are legally required to keep it or need it to protect the service. We do not use any of it to contact you or to build a profile of you.
Accounting, invoicing and tax records — kept for the period required by Slovenian tax and accounting law.
Records of accepted General Terms of Use and acknowledged Privacy Policy versions — kept for the duration of the contractual relationship and a reasonable limitation period afterwards, so that both sides can prove what was agreed.
Security and audit logs — kept for a limited period necessary to investigate security incidents, prevent fraud and abuse, and protect the service.
A record of your deletion request itself — your e-mail address, the date of the request and the date it was carried out. We keep this so we can demonstrate that we handled your request, and we delete it once it is no longer needed for that purpose.
Anonymised and aggregated data — retained without a time limit, because it no longer identifies you or any other individual.

6. If your account was provided by your employer
Workflow AI is used mainly by organisations. If your account was created for you by an employer or another organisation, that organisation decides how the work content in its Workflow AI workspace is used and kept, and we process that content on its instructions.
In that case, deleting your account removes your personal account and the personal data listed in section 4. Work content that belongs to the organisation — such as tasks, procedures, work instructions, reports and records created for its workspace — remains with the organisation. Where it is necessary and lawful for us to do so, we will inform the organisation that your account has been deleted.
If you also want the organisation's own copy of content relating to you removed, you will need to contact that organisation directly, because it is the controller of that data. If you are unsure who to contact, write to us and we will help.
7. Your other data protection rights
Besides deletion, you may have the right to access your data, correct it, restrict or object to its processing, receive it in a portable form, withdraw consent, and lodge a complaint with a supervisory authority. These rights are described in section 17 of our Privacy Policy. To exercise any of them, write to info@sdtsystems.eu.
